Loudest voices are not always the important ones. Sometimes the voices you donโ€™t hear are more important. 00:27:21 Erika Rodriguez: Curious to hear about any important questions that you all are currently asking on a feedback survey, drop in your favorite questions here in the chat 00:28:14 Chris Wade: The example I often give is those who tell us they wonโ€™t use technology. We donโ€™t hear from the silent majority who may leave if we donโ€™t modernise tech and communications 00:29:36 Erika Rodriguez: Great example Chris! Thanks for sharing : ) 00:30:02 Savannah Rogers: I am looking for any and all tips on helping the volunteers that will now come to me within the organization i work for, just promoted to this position and wanting to do all I can for them. Any advice, tips or places to research? 00:30:46 Chris Wade: The feedback is so essential, but do we need to go further? That is, involve in solutions not just providing feedback? 00:31:01 Erika Rodriguez: Expanding on this topic - how to create a healthy culture for volunteers at your organization https://www.galaxydigital.com/blog/healthy-volunteer-culture 00:32:01 Erika Rodriguez: @savannah - here is a guide for the new volunteer manager https://www.galaxydigital.com/blog/new-volunteer-manager 00:32:37 Emily Smith: @chris wade check out my software https://www.textither.com/; my tagline is literally Volunteer Tracking for People Who Hate Technology ๐Ÿ˜‚ 00:32:58 Erika Rodriguez: I love this question Chris - we have to let the volunteers see that their feedback matters, Nicole will expand on this in just a bit : ) 00:32:59 Emily Smith: *can integrate w/ Get Connected 00:33:18 Chris Wade: @Emily sounds fun - will take a look 00:33:33 Emily Smith: ๐Ÿ™Œ 00:34:08 Erin Spink: Regular two-way communication builds trust! So important to remember this 00:35:21 Erin Spink: As Susan J. Ellis always said, 'volunteer is just a pay grade' 00:35:43 Whitney Zhang: A challenge I have is working for such a young, small organization is that whenever I explain a policy/the reason behind something many volunteers can 1. remember when that wasn't a thing and 2. know all the employees in the organization including the ED personally so pointing to a newer policy sounds like we are directly just passing the buck to specific people who many will then just go and complain to instead if they feel strongly. 00:36:31 KENDALL BUTLER: What if we are prohibited from moving forward by our ED or by the circumstances of the communities we are in 00:36:45 Amber Yares: Our volunteers are Subject Matter Experts and we give them an honorarium and we still have communication issues because some team leaders don't want to communicate beyond what is necessary and it frustrates me to no end 00:37:24 Katy Walck: That is a great idea! 00:37:39 Katy Walck: about the honorarium 00:37:41 Erika Rodriguez: @Kendall - advocating for your program is a great start - check out this resource for more info on how http://galaxydigital.com/blog/advocate-for-your-volunteer-program 00:38:26 Anna LePetri: Whitney, my volunteer program, its offerings, and its policies have significantly changed even over recent years so I feel your pain. I often find that when I empathetically and transparently just explain the changes and the vision behind our changes, they at least somewhat understand. They may not like what they're hearing, but I think the assurance that we're not just changing this for the heck of it but for a reason that'll help everyone can make a huge impact. If they complain, that's a great form of feedback that can be assessed! 00:38:29 Chris Wade: @Whitney, yes that is a common challenge. But we have to remember that volunteers, especially the long standing have a psychological contact with us. It is stronger in volunteering because it is giving time freely. And it grows with time - volunteering is a huge part of their life. So, change takes time, a lot of involvement and discussion, and is frustrating. My tips is involve them as much as you can in change BEFORE we make the change, and let them shape it. Do it with them not to them 00:39:07 Jenny DeFreece: I know exactly what you are talking about Nicole. I did the same thing! 00:39:56 Erika Rodriguez: @whitney - consistency is key here as well as a support from your leadership. https://medium.com/@nicolersmith/give-r-e-s-p-e-c-t-get-respect-f071d641bbe3 https://www.galaxydigital.com/blog/happy-volunteers/ 00:40:01 Chris Wade: @Nicole - would you not go further than advisory teams and actually coproduce change with volunteers? 00:40:19 Kelly McNally: I just hosted a Tutor "refresher " meeting and brought the tutors together to review policies, best practices, ideas, feedback and just simply letting them know how valuable they are and treated them with swag and treats! 00:40:47 Dorthey Houston: More frustrating, is when a new system is implemented and the supervisors discourage the volunteers from taking it serious because it will just go away. 00:40:56 Chris Wade: @Kelly - sounds good 00:42:36 Erika Rodriguez: Expanding on this topic - retention https://www.galaxydigital.com/blog/why-do-volunteers-quit 00:43:43 Erika Rodriguez: More on how to manage your volunteer data https://www.galaxydigital.com/blog/volunteer-program-data-audit 00:43:46 Anna LePetri: Dorthey, I'm sorry to hear that's happening at your organization. โ˜น๏ธ that is crazy. I don't know what kind of staff evaluations you have at your org but that is something I would address as a challenge that's holding you back in the success of your job. Your supervisors are doing you and the success of the organization at large a massive disservice 00:43:51 Chris Wade: Sometimes I wonder if this requires a mindset shift - Think of ourselves less as volunteer MANAGERS and more as volunteer CONVENORS. We should always be CURATING experiences not managing resources. 00:44:42 Jesse Lopez: Also the paradox of locking on a time and place for service and finding volunteers to fill the need. What comes first, the chicken or the egg? 00:44:45 Anna LePetri: Chris 100%!! We've started rebuilding our volunteer program as "experiences" and "opportunities" instead of needs or labor and we've seen an immediate and large jump in interest and retention 00:45:18 Dorthey Houston: @Anna its more of an old traditional mindset that I am observing. It's such a challenge. 00:46:00 Erika Rodriguez: @Sangeetha - the way you are displaying the info and inviting your volunteers matters, check out this resource on how to inspire your volunteers with a compelling CTA https://www.galaxydigital.com/blog/volunteer-program-call-to-action 00:46:07 Chris Wade: @Jesse - yes, we need to remember volunteers are customers - they can always stay at home at watch Netflix, go play sport, go to the bar etc. For them to choose us, we need to fit their needs 00:46:33 Rosemary Badger: That makes sense to not get blindsided, but prepare yourself. 00:47:05 Chris Wade: @Anna - that is great, Iโ€™d love to hear more Chris.wade@TimeForImpact.co.uk 00:47:15 Kelly McNally: treat your volunteers just like colleagues/staff members, it make a difference and they appreciate it too! 00:47:58 Erika Rodriguez: More on how Nicole manages feedback: https://nicolersmith.medium.com/from-the-suggestion-box-handling-the-good-the-bad-the-say-what-d61693ad57a9 00:48:25 Abby Jewett: If this is helpful to anyone, I created an Ongoing Volunteer Feedback form for our agency that will be added to our volunteer/intern newsletter, other communications, and after the volunteer's service is over... It's also anonymous unless they add their name to share feedback with their supervisor. This discussion is really helpful in my thinking of how I can manage feedback once we start getting responses! -- https://form.jotform.com/volunteercaprw/volunteer-feedback-form 00:48:35 Anna LePetri: Will do Chris! :) looking forward to connecting 00:48:58 Erika Rodriguez: @Kelly - love this comment - more on how to build a relational volunteer culture [Watch] https://www.galaxydigital.com/webinars/building-relational-volunteer-culture 00:49:35 Erika Rodriguez: Thanks so much for sharing this Abby! 00:50:53 Onslow Literacy Council: Will the information from the chat be sent out with the recording? 00:51:20 Erika Rodriguez: You will be able to download the chat @Onslow : ) 00:51:47 Onslow Literacy Council: Super 00:51:55 Erika Rodriguez: Piggybacking on this topic - an episode from Nicole's podcast https://medium.com/@nicolersmith/if-asked-would-your-team-say-you-are-a-good-manager-6c69bee5421f 00:53:32 Katy Walck: Tor that example Triathaln 00:53:37 John Alufandika: is it not possible to share this PowerPoint presentation in our emails box... 00:53:42 Chris Wade: Building shared purpose is an interesting discussion for another day 00:54:16 Katy Walck: oops Triathalon, 00:55:51 Erika Rodriguez: more on surveys and newsletters https://www.galaxydigital.com/blog/volunteer-survey/ https://www.galaxydigital.com/blog/nonprofit-newsletter 00:56:07 Claudia Quiros Hernandez: For group/corporate volunteers we do a survey after the shift, and for our volunteers once a year. However we have an open feedback/suggestion box (digital) 00:56:24 Emily Smith: I built into the text-based tracking that people can share feedback in natural language, any time... but nobody has said anything constructive, only nice things like "such a blessing" maybe I need to add some nudges to remind people to share the feedback. I wonder what the best cadence is for that, that the admin can focus and address meaningfully 00:56:39 Jesse Lopez: THAT IS MY PROBLEM!!! backlogged with emails on this and that coming from internal and external 00:57:08 Chris Wade: Donโ€™t ask for suggestions if you know you cannot act on the ideas. We had a famous example here in the UK when the government research agency asked the public to name their new ship. Public opinion landed on the name Boaty McboatFace, clearly they could not call it that. So they upset people when they called it David Attenborough. 00:57:24 Erika Rodriguez: more on how volunteer tech can help out https://www.galaxydigital.com/blog/streamline-volunteer-registration-with-technology 00:58:05 Jesse Lopez: @Chris. I too am fond of Boaty Mcboatface 00:58:14 Jessi Cutter-Kim: THAT is a great sentence. The work needs to get done but it doesn't need to get done by you. 00:58:16 Erika Rodriguez: Boaty McboatFace lololololol 00:58:43 Chris Wade: @Jesse - me too 00:58:45 Emily Smith: ๐Ÿ˜” love Attenborough but also would have voted for McBoatface 01:00:07 Erika Rodriguez: Expanding with another podcast episode from Nicole's "From the Suggestion Box" https://medium.com/@nicolersmith/give-r-e-s-p-e-c-t-get-respect-f071d641bbe3 01:01:45 Erika Rodriguez: More on Nicole's publications: https://nicolersmith.net/author https://www.amazon.com/stores/Nicole-R-Smith/author/B07HC4JBHC?ref=ap_rdr&isDramIntegrated=true&shoppingPortalEnabled=true 01:01:59 Sofia Rudakevych: How - or what is the best way to get leadership/management buy in - I run the volunteer program .. but there's no follow through from my managers when volunteers need or ask for support.. the feedback largly gets ignored.. as does staff feedback too.. 01:02:02 Emily Smith: So prolific @Nicole! 01:03:15 Erika Rodriguez: @sofia - here are two researches that speak on how to make the case for tech to leadership and also how to advocate for your program https://www.galaxydigital.com/blog/executive-director-buy-in http://galaxydigital.com/blog/advocate-for-your-volunteer-program 01:03:48 Chris Wade: @Sofia - my answer has always been a mixture, speak the language of leadership (cultural intelligence), use evidence (build impact scorecard), and be tenacious. But it really is not easy. Happy to chat if useful. 01:04:16 Jesse Lopez: @sofia, I am gathering information to combine into a more formal proposal speaking to things that are on top of their mind using their language like return on investment. You're asking to add to their workload so like a volunteer you have to showcase what's in it for them. 01:04:36 Chris Wade: @Jess 100% 01:04:46 Chris Wade: @Jesse 100% 01:05:31 Jesse Lopez: also, Idea for one of these blogs or podcasts: obtaining support from leadership 01:05:54 Chris Wade: @Jesse - yes, I must do that. Any volunteer guests? 01:05:56 Terri Hodge: Jesse, that's a good one! 01:06:41 Chris Wade: @Jesse there is some content along those lines in the episode 1 and 2 of my podcast - with guest Matt Hick https://open.spotify.com/show/2IC9M1ZZtgeF4eaVJO97wW https://podcasts.apple.com/gb/podcast/time-for-impact-podcast/id1743581153 01:06:46 Erika Rodriguez: more from Nicole on Emotional Intelligence https://nicolersmith.net/recommendations 01:07:21 Sofia Rudakevych: I find it's frequently due to "budget" constraints that our system fails. I work for a municipal parks department, and frequently it is the same issues 01:07:39 Erin Spink: There is one caveat to advisory groups I've experienced - you need to be careful it's not tokenistic and that the nature of involvement with the group doesn't create barriers (ie daytime meetings, etc), otherwise it's too often the same voices and perspectives that get heard so you're not really getting a diversity of perspectives. 01:08:09 Jesse Lopez: Budget is most often the root of pushback. this adds to the need to showcase ROI 01:08:24 Erin Spink: Also being clear about the purpose - is it idea brainstorming, decision-making or co-creating? 01:08:42 Erika Rodriguez: Sofia - leadership often does not see beyond the budget line item - providing information on how the volunteer program leads to revenue generation is a great way to combat this. Here are two resources that speak on ROI https://www.galaxydigital.com/blog/how-volunteer-data-can-unlock-funding/ https://www.galaxydigital.com/blog/how-to-measure-volunteer-program-roi/ 01:08:52 Jesse Lopez: @Erin Love that. writing it down 01:08:53 Patricia Fantillo: I hear you @sofia I work for an environmental non profit in Canada and here we don't have funding strictly for a "Volunteer program". we have other KPIs that we have to meet that "incorporates communities" and that's how we've been able to get around that hoop. 01:09:14 Shirley Nagg: Fantastic presentation! Thanks so much! 01:09:17 Chris Wade: Totally agree Nicole. Involve volunteers in identifying the need, designing solution, and testing afterwards 01:09:39 Claudia Quiros Hernandez: Great presentation. Thank you! 01:09:47 Terri Hodge: Thank you Nicole and Court so much for all the great info 01:09:55 Erin Spink: @Sofia - this may also be helpful: https://strategicvolunteerengagement.org/ 01:10:03 Sofia Rudakevych: our volunteers report on everything from fallen trees on trails to dogs-off-leash to pickleball court use enforcement.. the volunteers support our landscapes and programs 01:10:03 Emily Smith: haha gotta be cool ๐Ÿ˜Ž 01:10:17 Katy Walck: smart answer! For the compliments 01:10:21 Wendy Love: Thank you is also a complete sentence. 01:10:50 Sofia Rudakevych: @eric thank you 01:10:53 Erika Rodriguez: Want more Nicole? Check out her podcast https://nicolersmith.net/podcast 01:10:59 Jessi Cutter-Kim: Thank you for this presentation! 01:11:00 Vivian Cappolla: Thank you Nicole and Court!! 01:11:25 Sofia Rudakevych: @chris wade - thank you. glad to chat 01:11:47 TONICIA GREEN: Thank you! 01:11:49 Chris Wade: @Sofia , ditto. Thank you too 01:11:51 Melissa Disorda: thank you. 01:11:52 Savannah Rogers: Loved this presentation! I took a lot of notes and downloaded many demos to take home with me and study that way I can help the volunteers under my care! If I can help my volunteers better than I can help animals find their forever homes!! 01:12:08 Janet-lee Ferris: Thank you 01:12:14 Savanna Hamed: Thank you for your presentation. :) 01:12:16 Sofia Rudakevych: Glad for the resources and information !!
