Erica from Gundersen Health System Volunteer Services in La Crosse, Wisconsin 00:23:19 Marissa Greene: We use position description but call their position a volunteer assignment so kind of confusing. 00:23:35 danielle romero: i use volunteer opportunity 00:23:43 Angela Penermon: ANGELA PENERMON WISDOM INSTITUTE.ORG DETROIT 00:23:47 Taylor Chang: We are similar Marissa, we use a few different terms 00:23:47 Joan Ambo: Opportunity - Chicago Botanic garden 00:23:51 Renee Anderson: I love the idea of using Opportunity Description 00:23:53 Susan Kohn: ASBS 00:24:00 Stephen Nyangwara: Hello,Stephen Nyang'wara. So not within the Volunteer Program Department. 00:26:04 Marissa Greene: Same here! 00:26:05 April Garrett: we use task description 00:26:38 Joan Ambo: Can't see results? 00:28:02 Tanya Giaquinto: When someone feels the need for it to be updated - every pillar does it differently 00:28:02 danielle romero: 6months to Year 00:28:03 Jazlynne Smith: We just started creating a lot of the descriptions since they have been inactive since pre-pandemic 00:28:22 danielle romero: or when we are adding or removing 00:28:23 Joan Ambo: We've also had to make changes after certain situations warrant more specific language and parameters. 00:28:26 Renee Anderson: I try to do a deep dive yearly with minor updates monthly to quarterly. 00:28:36 Nikki Minarik: I review and adjust quarterly to fit the need of the program. 00:29:49 Mark Osborne: As a new manager, I reviewed them when I came on board. We are about to begin a full review in the spring 2025 00:34:13 Marissa Greene: we're short on the volunteers to meet our needs but we have more people who want to volunteer but don't match with the need our org has. 00:34:19 Tanya Giaquinto: I find that the volunteers are so busy because they are the volunteers that work in other organizations. they are so engaged and less time to offer. I find this trend in all organizations I volunteer for. Same people who volunteer 00:35:28 Erika Rodriguez: Great insights Marissa and Tanya - interesting to hear about these similar issues 00:35:54 Stephen Nyangwara: Explore virtual volunteers from Africa. We can capitalize on talents from Africa 00:37:04 Erika Rodriguez: Love virtual volunteerism! Great way to offer a more simple / easier to access opportunity to meet your volunteers where they are at 00:38:41 Lauren DeShazo: I'm in that 13%. I had to revamp our program completely because we need committed volunteers with specialized training and I have limited opportunities for that training. We were spending lots of time training without getting the commitment. I switched to support roles and moved the specialized roles to Advanced so that volunteers had to show commitment before being eligible for training 00:39:39 Linda Kenney Logan: Can you give an example of virtual positions for volunteers? 00:39:46 Erika Rodriguez: Lauren - being flexible in this way is crucial to keeping your program healthy. I commend you for identifying the issue and adjusting to keep your program relevant 00:40:06 Judy Kingsbury: I work at a land-based organization (an arboretum), so we primarily need people doing hands-on work on the land; virtual volunteerism isn't the right thing for our organization, for the most part. 00:40:16 Erika Rodriguez: Linda - check out this resource for more info on virtual opportunities https://www.galaxydigital.com/blog/creative-remote-and-virtual-volunteer-opportunity-ideas 00:41:02 Hanna Bell: Linda, we have some volunteers who assist us with our website design and editing. It's something that they complete as they are able, and a great way to find ways to lessen the burden on our staff. 00:41:53 Linda Kenney Logan: Thank you! 00:42:18 Missy Miller: Hannah, how do you control the content for your web site using virtual volunteers? 00:42:33 Shaun Leonoff: we have used virtual volunteers to translate signage to French 00:42:48 Lauren DeShazo: We recently asked volunteers to create digital coloring book pages for our educational programs 00:43:06 Judy Kingsbury: thanks for the ideas! 00:43:20 danielle romero: are there any websites that are free and effective with volunteer recruitment besides Volunteer Match or volunteer connect 00:43:30 Teresa Fender: how do you navigate skills based volunteering in a unionized environment? Many of our staff are not supportive of having volunteers in these sort of roles. 00:43:51 Skylar Washington: Lauren, our program’s in the same predicament. Our issue is volunteers aren’t committed to completing all of our trainings, so we’ve had to mark them as “Pending” volunteers until trainings are complete. That has dropped down our active volunteers tremendously. 00:44:01 Simona Sheets: Danielle, we use volunteer hub it works well but I feel that we don't retain volunteers as long as I'd like 00:44:16 danielle romero: ok thank you Simona 00:44:33 Erika Rodriguez: Danielle - many United Ways and volunteer centers are open to sharing information on local NPOs volunteer opportunities - expanding your network to include these organizations could be a good option 00:44:59 Abby Jewett: Teresa, THAT is very interesting. We also are union focused (teacher and front-line service worker based), but I've never encountered that. Why are they not supportive of volunteers? Do they fear the work is being replaced? 00:45:14 Tanya Giaquinto: I find volunteers were engaged during covid but now the environment has changed and they are not as engaged or have just stopped responding. I have outreach volunteers across Canada and how help the to stay engaged (proper role descriptions/roles) or recruit those volunteers. 00:45:23 danielle romero: Thank you Erika 00:46:20 Hanna Bell: Thanks for the question, Missy! Our assigned volunteer(s) have an administration account, and they are vetted prior to receiving access to our website. They do things like regularly updating our Little Free Library Maps (which constantly change as more are added) and help with content posting. We have a spreadsheet that is shared with them that includes the most pressing edits/page designs and works down to the not so urgent items. For our important/urgent updates, staff write out our content word for word and upload necessary PDFs and other documents. Our less important edits are paraphrased by our volunteer and revied by staff prior to posting. Hope that helps! 00:46:22 Lauren DeShazo: Skyler feel free to reach out to me directly and I can chat with you about the changes I made to using support shifts to combat the training load- ldeshazo@houstonhumane.org 00:46:49 Erika Rodriguez: Teresa - advocating for your program when dealing with resistance from staff members can be very tricky. Finding and providing the 'Why' to explain the need for these skilled volunteers can go a long way towards winning over reluctant colleagues 00:47:13 Missy Miller: Danielle - Idealist.org, AARP's Create the Good, JustServe.org, 00:48:29 Lauren DeShazo: Teresa I've dealt with similar issues as we have moved to a mostly staff based organization and when I came on they only wanted 2 volunteer roles and they were very limited 00:48:32 danielle romero: Thank you Missy! 00:48:33 Missy Miller: We struggle for staff to delegate their work. 00:48:54 Therese Cagle: trunk or treat in the he park not getting any support 00:49:14 Therese Cagle: yes to all 00:49:21 Austin Adderholt: I am working on updating our Canine Companion volunteer role (our volunteers who work with our shelter dogs). The position is quite antiquated and has not been updated in several years. I am condensing many different positions into one description to limit confusion. 00:49:30 Laura Allen: Therese - can you connect with a college and see if there are kids who would like to help? 00:49:55 Skylar Washington: Thanks Lauren, I’ll be reaching out to you! 00:51:07 Teresa Fender: Abby I think there are a few different reasons. Some fear that their work is being replaced, some don't agree that those sort of more specialized skills should be unpaid, etc. I know that engaging people in the community as volunteers would be a long term positive for our organization and I know that many volunteers want to contribute workplace skills but I've struggled with making that case and now we're in the middle of a union contract negotiation so that's another added level of complication. 00:52:20 Laura Allen: We are careful about the respite role. This seems to be a risk to volunteers. 00:52:51 Simona Sheets: Can you chat a little more about the does not require an ongoing commitment? How can we manage the time it takes to onboard and aclimiate volunteers with the cost of a short time volunteer? 00:53:43 Missy Miller: Simona, we require at least 10 hours of service to help us recoup onboarding costs. 00:53:46 Teresa Fender: 2nding Simona's question! 00:54:33 Mark Osborne: What we see as skills-based volunteers aren't always viewed the same by staff outside of volunteer engagement - union or not. We're taking the first steps to integrating skills-based volunteers into some of our programs with support from our CEO. 00:54:55 Hanna Bell: Simona, do you have an on-call volunteer list? One of the first questions I ask our volunteers is whether they prefer to be a regular volunteer (weekly, daily, yearly, etc.). I've built up quite a list of volunteers who I can call to fill in and/or join us for various activities when we open spots. This has helped keep us running smoothly and makes our volunteers who can't keep a regular commitment feel valued. 00:55:20 Erika Rodriguez: Simona - agreeing with Missy and Teresa, setting an expectation for how a volunteer can truly support your organization is pivotal for generating value from your active volunteers 00:57:02 Simona Sheets: Thank you all! We need to work on setting volunteer expectations a little better I think 00:57:09 Missy Miller: Hannah, love the on-call idea! 00:57:19 Rachel Jouett: Hanna that's awesome info thank you 00:57:57 Hanna Bell: It's definitely a life saver! Especially when you're short on time! 00:58:49 Abby Jewett: Teresa, ahhh! Union negotiations - icky. I wonder if you can also get feedback of some kind from professionals who WANT to donate their professional skills (or proof of concept that people are applying/expressing interest with your organization, but your staff feels uncomfortable placing them). I had a 26-year skilled finance/HR individual who was mid-career and wanted to intern with us so he could make a difference. SO many professionals want to donate their time to us. I'm not sure if you're in a spot to get leadership on board, but Mark definitely has a point. The biases of staff around us bleed into the decisions to engage different kinds of volunteers. But if you can bring the proof of concept that people WANT to do this work UNPAID, and perhaps what other orgs are doing to engage them, that could be a start? If this is something that's in your plan for the next year or so, I'd love to connect with you to give you my experience with skilled volunteers. They are my absolute favorite - volunteers@caprw.org 01:00:11 Ruby Jane Alcantara-Jin: @Abby I would love to learn more! 01:01:08 Shawn Reid: Yes, I have - annually. 01:01:13 Austin Adderholt: We take a yearly Volunteer Program Assessment and it helps us create our strategic plan for the next year. 01:01:16 Mark Osborne: We haven't, but this is a great framework. 01:01:25 Judy Kingsbury: Yes, we did this for two roles in our visitor center, and changed role title, time commitment, and some of language around duties. 01:01:27 Chelsea White: I tried to do this with volunteers supervisors individually when I started my role in February. It was not a high success so I'm interested in the dream tool and working through it in a group setting instead of 1:1 01:01:40 Missy Miller: New leadership wanted one job description for all work. I'm slowly convincing them the descriptions need to be more specific and detailed. Ugh. 01:01:57 danielle romero: yes more enthused and less committal but more of flexibility-- we get adults who have time or want to give back to seniors or students for community hrs and we as city staff contribute as well 01:02:14 Taylor Chang: We are in the process of doing that kind of auditing with some of our animal care roles at our zoo. Specifically, we are looking at breaking up the responsibilities into different "tiers" that will require increased level of trainings. Right now we are looking at defining exactly what tasks should be considered "tier 1" vs a "tier 2" task and what kind of training would be required to bring a volunteer up the tiers 01:02:15 Abby Jewett: Ruby - Yes feel free to email me. I realize I sound like I'm bragging, but it's more of a good problem than anything else. There folks with hyper-specialized skillsets but sometimes we can't place them. It ties in with what Polly's talking about now too about who comes to apply with us! 01:03:47 Melanie Shanley: How are you ensuring your volunteer population best fits the organization demographic base? Mostly seen in hospital setting, understanding patient population aligns with volunteers. 01:03:59 April Garrett: We review a particular role every year because we get feedback on a yearly basis about the responsibilities and incorporate changes to update the task description 01:05:00 Teresa Fender: I think identifying pipelines to bring in the demographic of volunteers you are looking for is so important! We've had a lot of luck partnering with colleges and universities to bring in younger volunteers. 01:05:10 Missy Miller: Thanks Erica. I've shared this resource and others, with no response. So I am going back to more specific descriptions and letting them know it's working in my monthly reports. They have not scolded me, so that's my path right now. 01:07:38 Erika Rodriguez: Missy - don't give up! Advocacy takes time and consistency, you are doing it right : ) 01:08:14 Hanna Bell: I completely agree with utilizing colleges and universities. Something else that is important is accommodations for families. We have so many parents who want to volunteer with us, but they simply don't have the ability to hire a babysitter or find care outside of their normal care arrangement. As much as possible, we encourage our volunteers to bring their little ones with them to join them in their volunteer work and/or play in our playspace while the adult volunteers. 01:08:57 Hanna Bell: Missy, you might find a benefit in connecting with an I/O professional. Especially one who's interested in volunteering their skills. 01:08:58 Taylor Chang: I would love ideas on how other organizations refine the volunteer request process. I am in a growing organization and in the past just communicating with the Volunteer Manager has been sufficient, but we are growing to the size that it's becoming too much to handle all the one-off requests. I would love a process for staff to request volunteers from me, like a form perhaps? 01:09:50 Missy Miller: Hannah, what is I/O? 01:09:54 Joan Ambo: @taylor we developed a form in Excel based on the fields in our Volunteer mgmt. system. 01:10:02 Hanna Bell: Taylor, would a Google form suffice? If you made a standard template and created a connected spreadsheet, perhaps it would be an easy way to receive those requests? 01:10:33 Lauren DeShazo: We've have unpaid interns for the more committed volunteer roles 01:10:38 Erika Rodriguez: Taylor - establishing a digital form for internal communications is a great idea - this will allow you to ask the questions you need answered to create the opportunity and ensure the communication doesn't get lost in the suffle of physical documents 01:11:12 Rachel Jouett: Joan I would be interested in looking at the template you created blessings@vitialvillagesor.org 01:11:46 Hanna Bell: Missy, I/O stands for Industrial/Organizational Psychology. It's the study of the workplace and people in the workplace. It's incredibly awesome field, and many I/O practitioners look for ways to give back using their skills. CHIOP and SIOP is a great resource to connect with those skilled professionals. 01:11:46 Taylor Chang: Great idea to utilize the fields in the volunteer mgmt. system! I am thinking of a Microsoft form since that would put into an excel. Joan, I would also be interested in your excel if you are willing to share tchang@butterflies.org 01:12:37 Hanna Bell: I love I/O because many of the same principles in the workforce apply to volunteer management. 01:13:07 danielle romero: does anyone have a contact for United way for the fl state for the volunteer recruitment 01:13:44 Shawn Reid: There are some great ideas and conversations in the chat. Will it be available after the webinar? 01:14:09 danielle romero: Broward county South Florida 01:14:19 Martin Frith: Thank you, this has been an excellent presentation. Fantastic ideas 01:14:26 Judy Kingsbury: Thank you. 01:14:30 Mark Osborne: Yes! Thank you, Polly. 01:14:36 Amanda Lockett: Thank you! 01:14:40 Rachel Jouett: Thank you Polly 01:14:57 Lindy Engelken: Thank you so much! 01:14:58 Kathryn Arsenault: Thank you :) 01:15:00 Melanie Shanley: Thank you for the conference information!
